Hi,
I have tried using outlook, but I am unsure what settings to use for incoming mail and outgoing mail, So I have used following settings :

Incoming mail server : mail.example.com ?
Outgoing mail server : mail.example.com ?

Have checked box "my server requires authentication". (is this what you meant?)
Have outgoing mail smtp : port 25
Incoming mail pop3 : port 110
But still dont get incoming external mail, and get the following error when sending email :

Does mail.example.com point to the correct server? You can check that with

This points to the external ip address of web.example.com (81.192.138.12)rather than the address of mail.example.com.

Then you must change the A record of mail.example.com so that it points to the correct IP.
